In short
HelloCall answers and makes phone calls for businesses. To do that it handles two kinds of information: details about the people who use HelloCall (our customers), and the calls those customers' callers make and receive. We use both only to run the service. We do not sell personal information, and the site carries no advertising or analytics trackers.
What we collect
- Your account. Your name and email address, and your Google profile details if you sign in with Google. If you choose a password, we keep only a salted hash of it.
- Your organisation. What you set up in the console: call flows, agents, phone numbers, contacts and their tags, campaigns, scheduled calls, voice recordings you upload, and settings such as working hours.
- Payments. Wallet top-ups, plan purchases and device orders are paid through Razorpay. We receive the payment's status and amount, not your card or bank details.
- Support. What you write to us in a support ticket or an email, and the name and phone number you give us so we can reply.
Calls, transcripts and recordings
When HelloCall takes or makes a call for a customer, it processes what is said on the call to understand the caller and to reply. For each call we keep a record: the numbers involved, the time and length, the transcript, keypad presses, the steps the call took and the values it collected.
A customer can switch on call recording for a number. Recordings are made and stored by the customer's telephony provider (Plivo), and the console plays them from there; HelloCall does not keep its own copy.
For the people who call or are called by our customers, the customer is responsible for telling them how their information is used and for having a lawful reason to call them. HelloCall processes that information on the customer's behalf and on their instructions.
How we use it
- To run calls, campaigns and the console, and to keep your account signed in.
- To charge calls and AI use to your wallet and to keep records of payments.
- To answer support requests and tell you about changes to the service.
- To keep the service secure and to find and fix faults.
We do not use your calls or your callers' calls to advertise to anyone.
Who processes it with us
HelloCall is built on services that process data on our behalf:
- Cloudflare, which hosts the service and stores its data.
- Speech and language providers that turn speech into text, choose replies and speak them: Cloudflare Workers AI, Google (Gemini), Cerebras, Groq, Sarvam and Anthropic. Only what a call or a console action needs is sent to them.
- Plivo, for phone numbers, calls and recordings.
- Razorpay, for payments.
- Google, if you sign in with Google.
If you connect your own account with another provider (for example OpenAI, Inworld or Gemini for a voice agent, or your own Plivo account), data for those calls is also handled under that provider's terms with you.
How long we keep it
- Call history and transcripts: 30 days, then deleted automatically.
- A short summary of each call, saved on the caller's contact record: until you delete it.
- Your account and organisation's setup: until you delete them.
- Payment records: as long as the law requires us to keep them.
Cookies and browser storage
The console keeps your sign-in session and a few preferences (such as light or dark theme) in your browser's local storage. These are needed for the service to work. We do not use advertising or tracking cookies.
Your choices and rights
You can see, change and delete most of your information yourself in the console, and you can delete your organisation from its settings. To ask for a copy of your information, a correction, or deletion of anything you cannot remove yourself, write to us at the address below. We will reply within 30 days.
