Chapter 12 · Account
Settings and your organisation
Your profile, your organisation’s details, the people who can use it, your opening hours, and how party records are shaped — everything under Settings except billing and connections.
Finding your way around Settings
Open Settings from your avatar at the bottom of the console’s rail (on a phone, from the menu). The panel on the left groups every page:
- Account — Profile.
- Organisation — Organisation, Users, Parties, Working hours.
- Number providers — Plivo, Local modem.
- Connections — Integrations, API keys, Secret store.
- Billing — Plan, Wallet & billing.
Devices and Support are in Settings too — see Device store and devices and Support.
Profile
- Your name, email and role in the current organisation.
- Active organisation — switch between the organisations you belong to.
- Theme — Light, Dark or System (follows your device). It applies to this browser only.
- Sign out — asks first, since signing back in goes through Google again.
- Danger zone — folded away on purpose; see below.
Organisations
Everything in HelloCall — numbers, workflows, calls, the wallet — belongs to an organisation, and the people in it share it. Signing in for the first time creates your first organisation, with ₹100 of welcome credit.
You can belong to several — one per business or per client. Create another with New organisation on Settings → Organisation (you become its admin), then switch to it under Profile → Active organisation. Each has its own wallet, plan and data; a new organisation you create yourself starts with an empty wallet.
Organisation details
Settings → Organisation shows who you are, where you are and how to reach you. Admins change it with Edit:
- Business — the organisation name, business type, and About the business: what you do, who you serve, what callers usually ask for.
- Location — country, state and city.
- Contact — who HelloCall should reach about this account: name, email, phone, website.
- Billing — the billing address and Tax number (GSTIN), printed on every payment receipt you download.
- WhatsApp numbers and Notification emails — see below.
Where notifications may go
The Notify on WhatsApp and Notify on email workflow steps only ever write to your own team, at the numbers and addresses listed on your organisation’s profile. In Edit, type them into WhatsApp numbers (with the country code) and Notification emails, separated by commas — up to 20 of each. Messages come from HelloCall’s own WhatsApp number and mailbox.
Calling defaults
- Default country code — added to numbers typed without one in the Call dialog and in scheduled calls (+91 unless you change it). Campaigns use their own line’s code.
- Call recording — Record all calls or Stop recording everywhere switches recording for every number at once. Each number can still be changed in its Call tuning. Recordings are kept on your Plivo account.
The same page shows your calling rate and AI token rates, and your wallet balance.
Users and roles
Settings → Users lists the people with access. There are two roles:
- Standard user — can use everything: numbers, workflows, campaigns, calls, parties.
- Admin — can also manage billing and people, change the organisation’s details, connect integrations and manage API keys and secrets.
- Press Add member (admins only).
- Type their Google account email and choose the Role.
- Press Add user. No invitation email is sent — tell them to sign in with that Google account. They show as invited until they do, then active.
The row menu has Make admin / Make standard user and Remove. An organisation always keeps at least one admin.
Working hours
Settings → Working hours says when your business is open, so a workflow can tell callers you are closed and when you next open. The top of the page shows Open now or Closed now and today’s hours.
- Choose your Timezone. Every date and time a workflow reads uses it.
- Switch each day on or off, and set its opening and closing times (in 30-minute steps). Use Monday’s hours for every open day copies Monday across.
- Under Holidays, click a date on the calendar to close for the whole day, and give it a name — callers may hear it (“We are closed today for Diwali”).
- Press Save.
Workflows read these as {is_working_hours}, {is_holiday}, {holiday_name}, {working_hours_today}, {next_working_day} and more, and a Date & time step can check any date against them.
Party fields, types and tags
Settings → Parties defines the extra fields every party record has, the types a party can be, and the tags you group them by. See Your own fields, types and tags.
Leaving or deleting an organisation
In Profile, open the Danger zone:
- A standard user sees Leave this organisation — you lose access until someone adds you back.
- An admin sees Unregister & delete all data, and must type
deleteto confirm. It detaches every phone number (Plivo numbers stay rented on Plivo until you release them there), removes the Plivo connections, every workflow and agent, all call history, recordings and transcripts, and the wallet and payment history — any remaining balance is forfeited.
Questions about settings and your organisation
Every question from every chapter is also on the FAQ page.
How do I invite a colleague?
An admin adds their Google account email under Settings → Users → Add member. No email is sent: tell them to sign in with that Google account and they join straight away.
Can I sign in without a Google account?
No. HelloCall signs in with Google only, so there is no separate password to manage or leak.
What can a standard user not do?
Manage billing and people, edit the organisation’s details, connect integrations, and manage API keys and secrets. Everything else — numbers, workflows, campaigns, calls, parties — is open to them.
Can I run several businesses from one account?
Yes. Create an organisation per business under Settings → Organisation → New organisation and switch between them in Profile. Each has its own numbers, workflows, wallet and plan.
Can I have a lunch break in my working hours?
The Working hours page sets one opening and one closing time per day. Workflows use them to tell callers when you are open.
Why does Notify on WhatsApp say there are no numbers?
Add your team’s WhatsApp numbers under Settings → Organisation → Edit → WhatsApp numbers. The step only ever messages numbers on that list.
Where do I put our GSTIN for receipts?
In Settings → Organisation → Edit → Billing, with your billing address. Both are printed on every receipt you download.
I am the only admin and want to leave. What do I do?
Make someone else an admin first under Settings → Users; an organisation must always have at least one admin.
